This policy explains what information the J & B Human Services Staffing Hub collects, how it is used, and who it is shared with. The Hub is an internal workforce application for J & B employees, independent contractors, and contracted partner agencies. It is not a service offered to the general public.
1. Who we are
J & B Human Services LLC ("J & B," "we," "us") is a Massachusetts home care company providing homemaker and companion services. We operate the Staffing Hub at staff.jbhumanservices.com (the "Hub") and the public website at jbhumanservices.com.
Questions about this policy: info@jbhumanservices.com or 508-927-1040.
2. Who this policy covers
- Staff users — employees and independent contractors who sign in to view schedules, record availability, claim shifts, and enter time.
- Partner agency users — staff of contracted agencies who sign in to request shifts and view open capacity.
- Clients and their families — people receiving services, whose information staff record in the Hub to deliver care. Clients do not sign in to the Hub.
3. Information we collect
Account and employment information
- Full name, work or personal email address used for sign-in, mobile number
- Job title, hire date, hourly rate, weekly availability, overnight availability
- A photograph, where one has been provided for identification purposes
Google account information (when you sign in with Google)
If you choose "Continue with Google," Google shares a limited profile with us so we can confirm who you are. Section 4 describes exactly what we receive and how we use it.
Scheduling and work records
- Shifts assigned, claimed, completed, or missed; clock-in and clock-out times entered in the Hub
- Availability and time-off requests; complaints filed and administrative decisions recorded
Client service information
- Client name, contact details, address, emergency contacts, and the tasks in the client's service plan
- Visit records and notes entered by the assigned caregiver
- Scanned service documents, which are stored in our Google Drive and linked from the Hub rather than stored in the Hub itself
Technical information
- Sign-in timestamps, session tokens, and basic device and browser information needed to keep accounts secure
The Hub does not run advertising trackers, and we do not sell any information it holds.
4. How we handle Google user data
Signing in with Google is optional; an emailed one-time code is always available as an alternative.
| Question | Answer |
|---|---|
| What we request | Only the basic sign-in scopes: your Google account identifier (openid), your email address, and your basic profile (name and profile picture). We request no access to Gmail, Drive, Calendar, Contacts, or any other Google service. |
| What we receive | Your Google account ID, email address, name, and profile picture URL. |
| How we use it | Solely to verify your identity, match you against the Hub's approved member list, and display your name and picture to colleagues inside the Hub. If your email address is not on the member list, access is refused and no account is created. |
| How we store it | In our authentication database (Supabase), held in the United States and protected by access controls and encryption in transit. |
| Who we share it with | No one, apart from the service providers listed in Section 6 who host the Hub on our behalf. We do not sell it, use it for advertising, use it to train artificial-intelligence models, or transfer it to third parties for their own purposes. |
| How to revoke | Remove the Hub's access at any time at myaccount.google.com/permissions, and sign in with an emailed code instead. |
Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
5. How we use information
- To confirm that the person signing in is an authorized member of the workforce
- To build and publish schedules, fill open shifts, and record hours worked
- To send operational notices — open-shift alerts, shift confirmations, daily briefings, and account messages — by email or text message
- To process payroll and invoice contracted agencies
- To match the right caregiver to the right client, including showing an assigned caregiver a client's photograph so the caregiver can confirm they are with the correct person
- To meet our record-keeping, wage-and-hour, and program obligations under Massachusetts law
- To investigate complaints, safety incidents, and misuse of the Hub
Text messages (SMS)
With your agreement, the Hub sends text messages from J & B Human Services to the mobile number on your staff record. These are work notifications only — for example, that you have a new message in the Hub, a shift change, or a reminder that a credential is about to expire. We do not send marketing texts.
- How you agree: you opt in inside the Hub by tapping Yes, text me under Messages. We record the date, time and number you agreed with. Agreeing is not a condition of employment or of any contract with us.
- How often: message frequency varies with your schedule and activity.
- Cost: message and data rates may apply.
- Stopping: reply STOP to any text to stop receiving them, or turn text alerts off in the Hub. Reply HELP for help, or contact info@jbhumanservices.com or 508-927-1040.
- Your number is not shared: mobile numbers and text-message opt-in information are not shared with or sold to third parties or affiliates for marketing or promotional purposes. They are used only to send you J & B work notifications, through our text-message provider (Twilio).
6. Who we share information with
We do not sell personal information and we do not share it for advertising. We share it only as described here:
- Service providers who operate the Hub for us under contract, each with access limited to what their function requires: Supabase (database and authentication), Netlify (website hosting), Resend (sign-in and notification email), Twilio (text-message delivery and sign-in codes by text), Google Workspace and Google Drive (email and document storage), and Gusto (payroll).
- Contracted partner agencies and case managers, who see open capacity, shift status, and staff availability for the work they have arranged with us. They do not see client names for clients who are not theirs.
- Government agencies and payers, where required — for example Electronic Visit Verification data, program audits, or lawful requests.
- Professional advisors such as our attorney, accountant, or insurer, where necessary.
7. Client information and confidentiality
Information about the people we serve is treated as confidential. Inside the Hub, a client's record — including any client photograph — is visible only to administrators and to the caregiver assigned to that client's visit, not to the whole roster. Every employee and contractor signs a confidentiality agreement as a condition of access. Where information we hold is protected health information, we handle it in line with the applicable federal and Massachusetts confidentiality requirements and with our business associate arrangements.
8. Security
- Access requires an account we created; there is no public sign-up
- All traffic is encrypted in transit (HTTPS)
- Access is role-based, so people see only the records their role requires
- Accounts are removed promptly when someone leaves or a contract ends
No system is perfectly secure. If a breach affecting personal information occurs, we will notify affected people and the Massachusetts Attorney General and Office of Consumer Affairs as required by M.G.L. c. 93H.
9. How long we keep information
We keep employment, payroll, scheduling, and service records for as long as the law requires us to — generally at least three years for wage and hour records, and longer where program or insurance rules demand it. Sign-in and session data is kept only as long as needed to operate and secure the Hub. When a record is no longer needed, it is deleted or de-identified.
10. Your choices and rights
- Access and correction — ask us for a copy of the information the Hub holds about you, or ask us to correct it, by emailing info@jbhumanservices.com.
- Sign-in method — use an emailed one-time code instead of Google at any time.
- Notifications — ask us to change which operational messages you receive, though some are required to do the job.
- Deletion — ask us to delete information we are not required to retain.
We respond to requests within 30 days.
11. Children
The Hub is for adults working in a professional capacity. We do not knowingly create Hub accounts for anyone under 18.
12. Changes to this policy
If we change this policy we will update the date at the top of this page and, where the change is significant, notify Hub users by email.
